Berlin High School Music Boosters By-Laws


Article I: Name

The name of the organization shall be The Berlin Music Boosters Association, hereafter referred to as “The Boosters.”


Article II: Objectives

The objectives of “The Boosters” shall be:

To stimulate, encourage and sustain the students’ love and appreciation for music.
To maintain an enthusiastic interest in the various phases of the Music Department in the Berlin school system.
To lend all possible support, both moral and financial, to the general music programs.
To assist and cooperate with the Directors of the Music Department and maintain the highest degree of effectiveness.
To build and maintain an organization of parents and supporters which will help promote the general activities of the Berlin Music Department.


Article III: Membership

The membership shall be open to all interested parents and friends of the Berlin Schools who share a common concern in the Music Program. Membership shall be from September 1st through August 31st of each school year.


Article IV: Dues

A voluntary membership fee of five dollars ($5.00) is requested from all member families, payable in September of each school year. The amount can be changed or fixed by the Executive Board at the start of the school year. Only paid up members will be eligible to vote.


Article V: Executive Board

The Executive Board shall consist of the elected Officers, Band Director and Choral Director.


Article VI Officers, Duties & Responsibilities

The officers of the organization shall be the President, Vice-President, Secretary and Treasurer. All the officers shall be elected by a majority vote of those members present by ballot or voice vote at the final meeting of the school year for terms beginning with the coming school year and shall serve a one (1) year term.

President –

· shall preside at all meetings and schedule all meetings as required.
· shall receive official incoming communications and transmitting the informatio
to all the members of ‘The Boosters” in a timely fashion.
· shall maintain regular contact with the Music Directors to generate meeting agenda.
· shall be an ex-officio member in all duly constituted committees by “The Boosters”.

Vice-President –

· shall preside over all meetings of the “The Boosters” in the absence of the President or when
the President so designates.

Secretary –

· shall keep the minutes of all the regular monthly meetings and provide the minutes to the
President for review and comment.
· shall furnish the members a copy of the minutes of the previous meeting together with the
agenda.

Treasurer –

· shall be responsible for all monies collected and shall deposit promptly all monies in a
financial institution approved by “The Boosters”.
· shall keep a record of all financial transaction to be included in the monthly report.
· shall make payments from the “The Boosters” funds for any amount less than five hundred
dollars ($500.00) at the request of the Music Director and for an amount in excess of five
hundred dollars ($500.00) when so authorized by the Executive Board.
Two (2) names shall appear on all financial accounts: namely, the Treasurer and a Music
Department Advisor.

Advisor -

Band Director and Choral Director of the Music Department.

Class Representatives –

The Class Representatives shall be composed of one or more volunteer parents/guardians per class recruited from the “The Boosters” whose main function shall be to coordinate all planned activities in their respective grade level.

Article VII Election & Filling Vacancies

The election of officers shall be held at the last General Annual Meeting of the school year for a one year term.

In the event any officer cannot finish his/her term, the Executive Board shall appoint an individual to fill any vacancy for the balance of the term until the next regular election.

Article VIII. Scholarship Criteria

Scholarships are awarded annually to graduating senior(s) of good scholastic standing and of good moral character, who are intending to pursue a major/minor in music in a recognized college or university, upon submission of the Berlin Music Boosters Book Award Application on or before the 1st of May to the Scholarship Committee.

The amount of the book scholarship money for the current school year will be determined at a regular monthly meeting. The scholarship money will be paid directly to the student(s) following a successful completion of one semester as long as the student remains as an active student in good standing in the college or university. He/She must provide “The Boosters” a copy of an official transcript of scholastic record of the previous semester and present an official receipt for books or school music related items purchased.

Plaque and Notification Letter of the Book Award will be presented on Awards Night to the recipient(s) of the scholarship.

Article IX. Standing Committees

The following committees shall be formed and organized during the first regular monthly meeting in September.

· Membership
· Publicity
· Scholarship
· Fund Raising


Article X. Fund Raising

The Organization shall plan and organize various fund raising efforts for the purpose of increasing “The Boosters” treasury to support funding for scholarships and various music related programs and supplies.

Article XI. Compensation

No officers, directors or members of “The Boosters” shall be entitled to receive any salary or compensation, paid to himself/herself or to another, for services rendered to the Organization.


Article XII. Amendment

The by-laws may be amended as the need arises. Amendment shall be proposed and submitted in writing by a recognized paid up member at the preceding regular meeting. A simple majority vote of all the members present during the regular monthly meeting, after a quorum has been determined, is required for the final passage of the amendment to become effective.


Article XIII. Meeting and Quorum

The regular monthly meeting of “The Boosters” shall be held on the second Wednesday of the month beginning in September through June. Five (5) members attending shall constitute a quorum at regular monthly meetings. Those members shall include two (2) Executive Board members, either the President or the Vice President. The annual meeting shall be held in June. Special meetings may be called upon by the President or by a written request of any five (5) paid up members of good standing.


Article XIV. Parliamentary Authority

The rules contained in the most current edition of Robert’s Rules of Order shall govern this Organization in all cases to which they are applicable, consistent with this by-laws.


Article XV. Distribution of Funds

Unspent monies in a student account that has not been used by the student for trips or special events connected with the music program before graduation, may be transferred in the following manner:

· To a younger sibling, active in the BHS music program; or,
· To a designated underclassman, active in the BHS music program, (This option requires a written parental
authorization); or,
· To “The Music Boosters” General Fund.


Article XVI. Dissolution

In the event that the school music program is terminated and/or “The Berlin Music Boosters Association” is rendered inactive, the disposition of “The Boosters” outstanding funds, including student accounts, is to deliver the remaining assets, after all debts and liabilities are satisfied to The Berlin Student Activities Music Account No. 202 with the stipulation that the monies can be used only as seed money to support future music programs, if and when the Berlin High School Music Curriculum is reactivated. The money shall be used exclusively for the advancement of the Music Program and not for the benefit of any individual or other organization.

ADOPTED and promulgated by the membership in meeting assembled at the Berlin High School Library this 12th day of February, in the year 2003, acknowledged by the signatures of the currently elected officers of the Boosters.
